Cancellations & Rebooking Policy
Whiteout Outfitters – Guided Spring Snow Goose Hunts
At Whiteout Outfitters, safety, preparation, and professional execution are central to every hunt. Because we coordinate land access, guide scheduling, equipment deployment, and field logistics in advance, all reservations are subject to the following cancellation and rebooking terms.
By submitting a deposit, the Party Leader and all participating hunters acknowledge and agree to this policy.
The Nature of Cancellations
Whiteout Outfitters closely monitors weather conditions, migration activity, field conditions, and safety risks. If adverse weather, unsafe conditions, land access issues, or other unforeseen circumstances arise, we reserve the right to cancel or postpone a hunt.
This decision is made:
- In the best interest of hunter and staff safety
- To maintain ethical and responsible hunting practices
- To provide the best reasonable opportunity for a productive hunt
We do not cancel hunts lightly and will only do so when necessary.
Deposit & Liquidated Damages Policy
All deposits are non-refundable.
Upon booking, hunt dates are removed from availability and operational resources are allocated. The parties acknowledge that actual damages from cancellations are difficult to calculate in advance and that lost field utilization and guide scheduling create measurable financial impact.
Therefore, any deposit retained under this policy constitutes agreed liquidated damages and is not a penalty. Deposits are applied toward the total hunt balance.
14-Day Cancellation Rule (Hunting Party)
If any hunter cancels within 14 days of the scheduled hunt date:
- The canceling hunter forfeits their deposit.
- The Party Leader remains financially responsible for the full remaining balance of that hunter’s reserved slot.
If cancellations reduce the group size below the originally reserved number of hunters, it is the Party’s responsibility to:
- Fill the open slots, or
- Pay the remaining balance for those reserved positions.
Whiteout Outfitters schedules guides, equipment, and field layouts based on the number of hunters reserved at booking.
Entire Group Cancellation
If the entire hunting party cancels:
- All deposits are forfeited.
- If cancellation occurs within 14 days of the hunt date, the remaining balance for all reserved hunters is due and may be charged to the credit card on file.
No-Show Policy
A No-Show is defined as failure to appear on the scheduled hunt date without prior written notice.
In the event of a No-Show:
- All deposits and payments are forfeited.
- The Party Leader authorizes Whiteout Outfitters to charge the full remaining balance for the entire party to the credit card on file.
Whiteout Outfitters-Initiated Cancellations
If Whiteout Outfitters cancels a hunt due to unsafe weather conditions, land access loss, equipment failure, safety concerns, or other circumstances beyond our reasonable control, we do not issue refunds. Instead, we prioritize rescheduling.
Rescheduling options include:
Rebooking During the Same Season
If availability allows, we will first attempt to reschedule within the same season.
Rebooking for the Next Season
If same-season dates are not available, we will offer rebooking for the following season. Rescheduling is subject to availability and does not guarantee preferred dates.
Weather & Hunting Conditions
Spring snow goose hunting during the Conservation Order season involves unpredictable conditions. Cold weather, rain, mud, wind, migration timing shifts, bird movement changes, reduced harvest opportunity, or lack of success are not grounds for cancellation, refund, or credit.
No success guarantees are expressed or implied.
Medical Emergencies & Natural Disasters
The only exceptions to this policy are:
- Verified medical emergencies directly affecting an individual hunter
- Federally declared natural disasters preventing lawful travel
In such cases:
- The affected individual may receive a refund of their deposit only.
- Hunting fees beyond the deposit remain non-refundable.
- Documentation may be required.
Exceptions apply only to the individual directly impacted, not the entire party.
Party Leader Financial Responsibility
The individual booking the hunt (“Party Leader”) agrees to:
- Assume full financial responsibility for all reserved hunters.
- Ensure all members of the party understand and accept this policy.
- Authorize charges to the credit card on file consistent with this agreement.
Governing Law & Venue
This agreement shall be governed by Missouri law for hunts conducted in Missouri and Michigan law for hunts conducted in Michigan. Any dispute shall be brought exclusively in the county where the hunt was conducted.
How to Rebook
- Contact Whiteout Outfitters as soon as possible.
- Discuss available rebooking options.
- Confirm new dates in writing.
- Complete any updated documentation required for the rescheduled hunt.
We work diligently to accommodate our clients while maintaining fairness and operational integrity.
